Memberships FAQ
Answers to common membership questions, including Ongoing memberships, renamed fields, charge times and family-only memberships.
Answers to common questions about memberships in Crown Connect, including what changed in the October 2026 release.
What should I check first after the release?
Review your Membership Settings, especially your declined-payment settings. Suspension is turned off for every practice with this release, so past-due memberships stay active and build a balance. To suspend memberships after a declined payment, turn on Suspend After Declined Payments and set a grace period.
What time are membership payments charged?
Membership payments run at 8:00 AM in your practice's time zone. If a payment is declined, the membership shows as past due at 7:00 PM that day.
What happened to Ongoing memberships?
New "Ongoing" memberships are no longer offered. Existing ones keep billing month to month and show Currently Ongoing. To convert one:
- Open the membership and select Manage Plan, then Renewal Options.
- Choose Auto-Renew and set Renew Every (2 to 12 months).
- Save your changes.
Some fields have new names. What changed?
- Down Payment is now Enrollment Fee
- Membership ID is now Plan ID
- View Authorization is now View Agreement
The custom amount and number-of-payments options have been removed from membership payments.
Why can't I add a patient from another family to a membership?
A membership that covers several patients can now include members of one family only, so each payment can be split correctly across the family's accounts. Existing memberships that mix families keep working, but each payment posts in full to the primary patient. See Memberships and Open Dental.
Where did the offset procedure code go?
It now lives on each plan in Membership Administration. Your existing code was copied to every plan. See Create and edit membership plans.
Did my membership agreement change?
If you used the standard agreement, you were moved to the new version automatically. If you customized yours, your text was kept, and you'll see a note that it differs from the new standard. See Customize your membership agreement.
What do patients receive when they enroll?
Patients now receive their agreement as a PDF attachment instead of the previous details email.
Why don't my membership exports match older reports?
In exports, "Patient ID" now means the patient's ID in your practice-management system, and totals include scheduled changes. See Find, filter and export memberships.
Do yearly members get renewal reminders?
Yes. Yearly members now get the "will not auto-renew" reminder too. Auto-renew reminders follow the timing you set in Membership Settings.
Why does a patient show a different price from the plan?
The patient has custom pricing, either because the amount was changed at enrollment or because they weren't included in an earlier plan-wide price change. Custom-priced members are marked with a C when you review a plan change. See Change a plan's price for existing members.
Are card surcharges applied to past-due membership payments?
If your practice surcharges cards, the surcharge is shown to the patient before they pay on a past-due membership page.
